1. Introduction
Welcome to Wordflow AI ("we", "our", "us"). These Terms of Service ("Terms") set out the terms on which you may access and use our website, platform, products, and services (collectively, the "Services"). By using our Services, you agree to comply with and be legally bound by these Terms. If you do not agree, you must not use our Services.
2. Eligibility
To use Wordflow, you must be at least 18 years old, have permission to act for the organisation you represent (if applicable), and provide accurate account information. You’re also responsible for using Wordflow in line with applicable laws and regulations.
3. Accounts
When you create an account, make sure your details are accurate and kept up to date. You’re responsible for keeping your login details secure, anything that happens under your account, and letting us know if you notice any unauthorised access.
You can sign up with an email address or use third-party sign-in options like Google.
4. Plans, Trials, Billing, and Cancellation
4.1. Plans and Usage Limits
Wordflow is offered on subscription plans. Each plan may include usage limits (for example, number of prompts tracked, answers analysed, Brand Profiles, or content generated). Your plan limits and inclusions are shown at checkout and in the product, and may change if you upgrade or downgrade.
4.2. Free Trial
If you start a free trial, you’ll have access to the plan features shown during signup for the trial period stated. Unless you cancel before the trial ends, your subscription will automatically start on the next day and you will be charged the plan price shown at signup.
4.3. Billing and Payment
You authorise us (and our payment processor) to charge your selected payment method for subscription fees on a recurring basis (monthly or annually, depending on what you choose), plus any applicable taxes. If a payment fails, we may retry the charge and suspend access until payment is received.
4.4. Renewals
Subscriptions renew automatically at the end of each billing cycle unless you cancel before the renewal date. You can cancel in your account settings. Cancellation stops future renewals but does not refund fees already paid for the current billing period, except where required by law.
4.5. Upgrades, Downgrades, and Changes
You can change your plan at any time. Upgrades may take effect immediately and may be charged on a prorated basis. Downgrades usually take effect at the end of your current billing cycle, and your usage limits will adjust at that time. If you downgrade, some features or data access may be limited under the new plan.
4.6. Refunds
Except where required by law, fees are non-refundable. If you believe you were charged in error, contact support and we’ll investigate.
4.7. Price Changes
We may change our prices from time to time. If we do, we’ll provide reasonable notice before the new price takes effect. If you do not agree to the new price, you can cancel before your next renewal.
5. Acceptable Use
5.1. General Rules
You agree not to misuse the Services. This includes not attempting to interfere with the Services, access them in an unauthorised way, or use them in a way that violates any applicable law.
5.2. Prohibited Activities
You must not:
- reverse engineer, decompile, or attempt to extract source code from the Services, except where allowed by law.
- bypass usage limits, rate limits, or access controls.
- use automated scripts to scrape, probe, or overload the Services.
- upload or distribute malware, harmful code, or content designed to disrupt systems.
- infringe intellectual property rights or upload content you do not have permission to use.
- use Wordflow to create or distribute unlawful, deceptive, or misleading content.
- use the Services to harass, abuse, or threaten others.
5.3. Enforcement
If we believe your use violates these Terms or creates risk for Wordflow or others, we may suspend or terminate your access, with or without notice where legally permitted.
6. Intellectual Property
6.1. Our Services
All intellectual property rights in the Services (including the platform, software, workflows, templates, designs, and branding) are owned by Wordflow AI or our licensors. Using the Services does not give you any ownership rights in them.
6.2. Your Content
You own the content you submit to Wordflow (for example, text, prompts, documents, and other materials) (“Customer Content”). You are responsible for ensuring you have the rights to use and upload Customer Content, and that it does not infringe anyone else’s rights or violate any laws.
6.3. Licence to Provide the Services
To operate Wordflow, you grant us a limited, non-exclusive, worldwide licence to host, store, process, reproduce, and display your Customer Content only to provide, maintain, and improve the Services, and to support you (for example, troubleshooting and customer support). We do not use your Customer Content to create public marketing without your permission.
6.4. Output
Where the Services generate drafts, suggestions, or other outputs based on your Customer Content (“Output”), you may use that Output for your business purposes. You remain responsible for reviewing Output before publishing or relying on it, including checking accuracy, substantiation of claims, and compliance requirements.
6.5. Feedback
If you share feedback or suggestions, you agree we may use them without restriction or compensation to improve the Services.
6.6. Trademarks
“Wordflow” and our logos are our trademarks. You may not use them without our prior written permission, except where permitted by law.
7. Data Protection and Privacy
You retain ownership of the data you upload to Wordflow.
We process your data only to provide and support the Services (for example, running campaigns, generating outputs, and maintaining integrations). We don’t allow our AI providers to use your Customer Content to train their models. We use reasonable security measures to protect your data, including encryption in transit. 8. Service Availability
8.1. Availability
We aim to keep Wordflow available and working reliably, but we do not guarantee uninterrupted or error-free operation. From time to time, the Services may be unavailable due to maintenance, updates, or issues outside our control (including third-party providers).
8.2. Maintenance and Updates
We may make changes to the Services to improve performance, security, or functionality. This may include adding, removing, or modifying features. Where reasonable, we’ll provide notice for changes that materially reduce core functionality of a paid plan.
8.3. Support
Support is provided according to your plan. We may offer support through email, in-app chat, or other channels. Response times are not guaranteed unless explicitly agreed in writing (for example, in an Enterprise agreement).
9. Beta Features
From time to time, we may provide beta features or experimental tools. These are supplied on an "as is" basis for evaluation only, with no guarantee of functionality, reliability, or continued availability.
10. AI Output and Compliance Tools
10.1. AI Outputs
Some parts of Wordflow generate drafts, suggestions, recommendations, or analyses using AI. AI outputs may be incomplete, inaccurate, or outdated, and may not reflect the most recent standards, regulations, or market conditions.
10.2. Your Review Responsibility
You are responsible for reviewing and validating all AI outputs before publishing or relying on them. This includes verifying factual claims, checking substantiation, and confirming that disclosures or disclaimers are appropriate.
10.3. Compliance Checklist
The Compliance Checklist is designed to flag potential issues based on the settings you choose (such as country, industry, and channel). It provides guidance and suggestions, but it does not provide legal advice and is not a substitute for review by a qualified professional.

Wordflow does not provide legal, medical, financial, or other professional advice. If you need professional advice, you should consult a qualified professional.
11. Third-Party Integrations
11.1. Integrations
Wordflow may connect with third-party services (for example, analytics, SEO tools, AI model providers, or publishing tools). These integrations may require you to link accounts or provide credentials or authorisation.
11.2. Third-Party Terms
Third-party services have their own terms and policies, and we can’t control how they operate. If a provider changes their service, has downtime, or removes an integration, it may affect the related features in Wordflow.
11.3. Your Responsibility
You are responsible for maintaining your third-party accounts and ensuring you have permission to connect them to Wordflow. You may disconnect integrations at any time, but some features may not work without them.
12. User Content and Conduct in Shared Spaces
12.1. Shared Features
If the Services include shared or collaborative features (for example, team workspaces, shared templates, or comments), you are responsible for content posted by your users and for managing access appropriately.
12.2. Removal and Moderation
We may remove content or restrict access to shared features if we reasonably believe it violates these Terms or applicable laws, or creates risk for Wordflow or others.
12.3. Reporting
If you believe any content or activity violates these Terms, please contact support so that we can review it.
13. Feedback
By submitting feedback, suggestions, or ideas, you grant us a non-exclusive, royalty-free, perpetual licence to use them for any purpose, without obligation to you.
14. Account Suspension and Non-Payment
If a payment is overdue, declined, or looks fraudulent, we may suspend or limit access to your account until payment is resolved. Once outstanding payments are settled, we’ll restore access. If an account remains unpaid for an extended period, we may terminate it.
15. Data Retention
15.1. Retention During Your Subscription
While your subscription is active, we store Customer Content and campaign data so you can use the Services. The amount of data you can store and access may depend on your plan.
15.2. After Cancellation or Expiry
If you cancel or your subscription ends, we may retain your data for a limited period so you can export it or reactivate your account. Unless we are required to keep it for legal, security, or compliance reasons, we will delete or de-identify it after that retention period.
15.3. Backups
Deleted data may remain in backups for a limited time, but we will not restore it except where required for security, legal compliance, or disaster recovery.
15.4. Plan Changes
If you downgrade, some features or historical data may no longer be available under your new plan. We may keep that data for a limited time, but you’ll only be able to access it again if you upgrade.
16. White-Label, Affiliates, Distribution
Where white-label solutions, reseller arrangements, or affiliate distribution are provided:
- Partners must comply with these Terms and applicable laws;
- We are not liable for misrepresentations, misuse, or breaches by partners, affiliates, or distributors;
- Partners are responsible for end-user support unless agreed otherwise in writing; and
- Additional written terms applicable to white-label or affiliate agreements shall prevail in the event of conflict.
17. Termination
We may suspend or terminate your account if you:
- Breach these Terms; or
- Engage in conduct that harms us, other users, or third parties.

18. Limitation of Liability
To the maximum extent permitted by law, Wordflow isn’t liable for indirect, incidental, or consequential damages. Our total liability for any claim related to the Services is limited to the amount you paid us in the 12 months before the claim.
19. Indemnity
You agree to indemnify Wordflow AI, our affiliates, and our team against claims, damages, or costs that arise from your use of the Services or a breach of these Terms.
20. Governing Law
These Terms are governed by the laws of New South Wales, Australia. If a dispute arises, both parties agree to first try to resolve it in good faith through negotiation (and, if needed, mediation) before starting legal proceedings. If the dispute can’t be resolved, the courts of New South Wales will have exclusive jurisdiction, unless applicable law requires otherwise.
21. Consumer Rights
Nothing in these Terms limits any rights you may have under mandatory consumer protection laws in your country or state of residence. If these Terms conflict with mandatory consumer rights, those rights will apply.
22. Changes to Terms
We may update these Terms from time to time. If changes are material, we’ll notify you by email or within the platform. By continuing to use the Services after the updated Terms take effect, you agree to the revised Terms.
