1. Introduction
At Wordflow AI, we want billing, cancellations, and refunds to be clear and predictable. This policy explains how subscriptions work, when you can cancel, and the limited situations where refunds may apply. It should be read together with our Terms of Service and Privacy Policy.
2. Definitions
- "Subscription Plan" refers to any paid plan (Lite, Pro, Business, Enterprise) available on Wordflow's pricing page.
- "Free Plan" refers to the no-cost version of Wordflow which comes with limited features and usage limits that refresh each month.
- "Activate Trial" refers to commencing the 14-day free trial for a paid plan. You'll be asked for your payment details, but you won't be charged unless you decide to keep the subscription active after the trial ends.
- "Billing Cycle" refers to how often you're charged for your plan - either monthly or annually - starting from the date your subscription commences or converts after the free trial ends.
- "Annual Plan" refers to a 12-month subscription that's billed upfront in one payment.
- "Monthly Plan" refers to a subscription that's billed very month on a recurring basis.
- "Usage Limits" include tracked prompts, answers analysed per month, optimised articles, reports, refreshes, translations, storage capacity, and other metered features assigned to your plan tier.
- "Effective Cancellation Date" refers to the date that your subscription stops renewing. You'll keep access to your plan until the end of your current billing period, and no new charges will be made after that.
- "Refunds" refer to money returned to a user's original payment method for fees already paid to Wordflow. Refunds are only issued in limited situations described in this policy, or where required by applicable law.
- "Billing errors" refer to incorrect charges caused by payment or subscription issues, such as being charged twice, being charged the wrong amount, or being charged after a user cancels before renewal.
3. Free Plan
The Free Plan does not require payment details and has no subscription fees, so refunds do not apply. Wordflow reserves the right to modify the terms of the Free Plan at any time.
4. Activate Trial
When you activate a trial, you provide a valid payment method but you won’t be charged during the trial. If you don’t cancel before the trial ends, your subscription will start automatically and we will charge the plan and billing cycle you selected.
5. Paid Subscription Billing
Subscriptions are billed in advance on a monthly or annual cycle and renew automatically unless cancelled before renewal. Payments are processed by Stripe (or an authorised payment processor). Taxes may apply depending on your location.
6. Cancellations
You can cancel at any time in your dashboard. Cancellation stops future renewals and you’ll keep access until the end of your current billing period. We don’t provide prorated refunds for unused time, except where required by law.
7. Upgrades
Upgrades take effect immediately. We may charge a prorated amount for the remainder of your current billing period, and your next renewal will be billed at the new plan price.
8. Downgrades
Downgrades take effect at the start of your next billing period. Your current plan stays active until then. After a downgrade, your access and limits will match the new plan, and some data or features may become unavailable if they exceed the new plan limits. We recommend exporting anything you need before downgrading.
9. When refunds may be issued
Refunds are not provided for change-of-mind cancellations or unused time. We may provide a refund (or credit) in these situations:
- Billing errors, such as duplicate charges
- Incorrect charges, such as being billed after you cancelled before renewal
- Service issues, only where a refund is required under applicable law
All refunds, if approved, are issued to the original payment method.
10. Non-Refundable Items
Discounts, coupons, trial credits, add-ons, partially used periods, and prepaid annual subscriptions are non-refundable except where required by law. Enterprise or negotiated plans are governed by their separate written agreement.
11. Chargebacks & Payment Disputes
If you believe you were billed incorrectly, contact support@wordflow.ai first so we can investigate. If a chargeback is initiated, we may temporarily restrict account access while the dispute is reviewed.
12. Service Availability
We aim to provide a reliable service, but temporary interruptions (including maintenance or third-party provider downtime) do not automatically entitle you to a refund. Where a remedy is required by law, we will comply.
13. Consumer Rights
Nothing in this policy limits your rights under mandatory consumer protection laws. Where those laws require a refund, repair, replacement, or other remedy, we will provide it.
